Privacy policy
This policy explains what personal information Move & Clear collects when you use this website, how we use it, who we share it with and what your rights are. Move & Clear is a free introduction service: we take the details of your job and pass them to local house clearance and man with a van providers so they can quote for it. Because passing your details to those providers is the whole point of the service, we have explained that part in detail in section 4.
- You tell us about your job and give us your name, email address, phone number and postcode.
- We send those details to the local providers who cover your postcode area (a small number, and never more than five) so they can contact you with a quote.
- Those providers are separate businesses. Once they have your details they are responsible for how they use them, and you can ask them to stop contacting you.
- The service is free for you. Providers pay us for the enquiries we send them.
- We do not sell your details to other companies and we do not send you marketing emails.
- You can ask us for a copy of your data, to correct it or to delete it at any time: leads@yorkshireseospecialists.co.uk.
1. Who we are
Move & Clear is a trading name of Northbound Digital Growth Ltd, a company registered in England and Wales (company number 17447416) with its registered office at 26 Baffam Gardens, Selby, YO8 9AY. We are the "controller" of the personal information described in this policy, which means we decide how and why it is used. We are registered with the Information Commissioner's Office (ICO), registration number [ICO REGISTRATION NUMBER].
You can contact us about privacy at leads@yorkshireseospecialists.co.uk.
We are an introducer, not a clearance or removals company. We do not carry out jobs ourselves and we are not a party to any agreement between you and a provider.
2. What information we collect
Information you give us when you request quotes
- Contact details: your name, email address and mobile or telephone number.
- Job details: the service you want (house clearance or man with a van), your postcode and, for a man with a van job, the delivery postcode, the size of the job or van, a description of the items, the date you would like the work done, whether you are flexible on dates, whether you need help loading, and anything else you choose to write in the notes box.
- Consent record: we only accept a request if you have ticked the box agreeing to your details being shared with providers, and we record the date and time you submitted the form and the page you submitted it from.
Please do not put sensitive information (for example health details, bank details or passwords) in the notes box. We do not need it, and it would be passed to providers along with the rest of your enquiry.
Information we collect automatically
- Technical information: your IP address, browser type and version, device type, the page you were on when you submitted a form and the time of the request. This is held in our web server logs, and your IP address is also shared with Google when the reCAPTCHA check runs.
- Website analytics (only if you accept): if you accept analytics in our cookie banner, Google Analytics collects information about how you use the site, such as the pages you view, how you arrived, your approximate location (town or region), device and browser type, and a random identifier stored in a cookie. We use it in summary form and do not link it to your quote request.
- Spam and abuse checks: our forms use Google reCAPTCHA. It analyses information such as your IP address and how your browser behaves to tell people from automated programs. See our cookie policy and section 5.
Information from suppliers and other people who contact us
- Provider applications: if you run a clearance or removals business and register your interest through our suppliers page, we collect your business name, contact name, email address, phone number, the services you offer, the postcode areas you want and, if you give it, your waste carrier registration number.
- Correspondence: if you email or phone us, we keep a record of what you tell us and our replies.
Information about children
Our service is for people aged 18 or over. We do not knowingly collect information about children. If you think a child has sent us their details, please contact us and we will delete them.
3. How we use your information, and our legal basis
Data protection law (the UK GDPR and the Data Protection Act 2018) says we must have a lawful basis for each use of your information. These are ours:
| What we do | Information used | Lawful basis |
|---|---|---|
| Receive your quote request, match it to providers who cover your postcode area and send your details to them so they can contact you with a quote. | Contact details, job details, postcode | Taking steps at your request before entering into a contract (Article 6(1)(b)), and our legitimate interest in running an introduction service (Article 6(1)(f)). You also tell us you agree to this when you tick the box on the form. |
| Email you a confirmation that your request has been sent, and deal with your questions or complaints. | Name, email address, enquiry details, correspondence | Taking steps at your request (Article 6(1)(b)) and legitimate interests in providing good customer service (Article 6(1)(f)). |
| Keep a record of enquiries, the providers they were sent to and the consent you gave, so we can answer disputes or complaints, invoice providers correctly and show we have followed the law. | All enquiry information, consent record, technical information | Legitimate interests in running our business and defending legal claims (Article 6(1)(f)); legal obligation where we must keep records (Article 6(1)(c)). |
| Protect our forms and website from spam, fraud, abuse and security threats, including blocking submissions that look automated or abusive. | Technical information, form content, reCAPTCHA data | Legitimate interests in keeping our service secure and usable (Article 6(1)(f)). |
| Contact you if no provider currently covers your area, to tell you that, or if one later becomes available for the same enquiry. | Contact details, postcode, job details | Taking steps at your request (Article 6(1)(b)). |
| Set up and manage providers who receive enquiries from us, including billing and keeping records for tax and accounting. | Provider application and account details | Performing or preparing a contract (Article 6(1)(b)), legal obligation (Article 6(1)(c)) and legitimate interests (Article 6(1)(f)). |
| Improve the quality of the matches we make, using the enquiries we receive in summary form. | Postcode area, service type, job size (not your name or contact details) | Legitimate interests (Article 6(1)(f)). |
| Understand how the website is used and improve it, using Google Analytics. | Analytics identifiers, pages viewed, approximate location, device and browser details | Your consent (Article 6(1)(a)), given through the cookie banner. You can withdraw it at any time using Cookie settings in the footer. |
Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms and concluded that they are not. You can ask us for details of that assessment, and you have a right to object (see section 9).
We do not use your information to make decisions that have a legal or similarly significant effect on you. Matching an enquiry to providers by postcode area is automated, and so is the filter that blocks obvious spam. If you think a genuine enquiry was blocked, please contact us.
4. Why we share your details with providers
This section answers the questions people most often ask about a service like ours.
Who receives your details?
When you submit a quote request we look at the postcode area of the job (for example NG for Nottingham or LE for Leicester) and send your enquiry to the providers who have registered with us to cover that area. We send it to a small number of providers, typically up to three and never more than five. Each provider receives their own separate email containing everything you entered on the form: your name, email address, phone number, postcode (and delivery postcode if given), the job details and any notes.
If no provider covers your area at the moment, your details are not passed on to anyone else. We keep them on our records for the period in section 7.
Why do we share it?
So that they can quote. You will normally be contacted by phone, text message or email by the providers we have sent your enquiry to. Because several providers receive the same enquiry, you may be contacted by more than one, usually within the same day. You choose whether to accept any quote.
What happens to your details once providers have them?
- Each provider is an independent controller of the details we send them. They decide how to use them and are responsible for doing so lawfully. Their use is governed by their own privacy policy, and you should ask them for it if you want to know more.
- Providers who receive enquiries from us agree to use your details only to respond to your enquiry and to deal with any resulting job, and not to sell them or add you to marketing lists without your agreement. We cannot monitor what each provider does, and we are not responsible for how providers use your information after we have sent it.
- If you want a provider to stop contacting you, or to delete your details, tell the provider directly. If a provider does not respect your wishes, tell us and we will follow it up and, where appropriate, stop sending them enquiries.
Do we get paid?
Yes. The service is free for you, but providers pay Move & Clear a fee to receive enquiries in their area. We do not charge you for the introduction. This does not give providers any right to rank higher than others, because every provider covering an area receives the same enquiries.
Do we check providers?
We ask house clearance providers for their waste carrier registration number when they apply, but we are not able to guarantee the quality, price, availability, insurance or legal compliance of any provider. Please carry out your own checks before you agree a job. In England you can check that a waste carrier is registered on the Environment Agency's public register, and equivalent registers exist in Scotland, Wales and Northern Ireland.
Will we pass your details to anyone else?
We do not sell your details and we do not pass them to other companies for their own marketing. The only other recipients are the service providers and bodies described in section 5.
5. Other people we share information with
- Our service providers (processors) who help us run the website and send email on our behalf, such as our web hosting and email delivery providers. They may only use your information on our instructions.
- Google, which provides the reCAPTCHA spam-protection service on our forms and, if you accept analytics, the Google Analytics service. For reCAPTCHA, Google receives technical information from your browser when a form loads and when you submit it, and acts as an independent controller for its own purposes. For Google Analytics, Google processes analytics data on our behalf. See Google's privacy policy at policies.google.com/privacy.
- Professional advisers such as lawyers, accountants and insurers, where we need their advice.
- Regulators, the police and other authorities where we are required by law, or where it is necessary to prevent or investigate crime.
- A buyer of our business, if we sell or restructure it. Your information would be passed on only on the basis that it continues to be used as described in this policy.
6. Transfers outside the UK
Some of the organisations we use, including Google, may process information in countries outside the UK, including the United States. Where that happens we make sure a lawful transfer mechanism is in place, such as a UK adequacy decision, the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum, so that your information keeps an equivalent level of protection. You can ask us for more detail using the contact details below.
Providers who receive your enquiry are normally UK businesses, but we cannot control where they store or process your details.
7. How long we keep your information
| Information | How long |
|---|---|
| Quote requests (contact details, job details, consent record and the list of providers the enquiry was sent to) | 12 months from the date of the enquiry, then deleted or anonymised. We keep them this long to deal with questions, complaints and disputes about the introduction. |
| Enquiry emails sent to providers | Providers decide how long they keep what we send them. Our own copy follows the period above. |
| Google Analytics data (only if you accept analytics) | Up to 14 months, after which Google deletes it automatically. |
| Web server logs and spam-protection records | For a short period set by our hosting provider, normally no more than 12 months, unless needed to investigate abuse. |
| Provider applications and accounts | While you are a provider with us, and for up to 6 years afterwards where we must keep financial and tax records. |
| Emails and other correspondence | Up to 3 years after the matter is closed, or longer if a complaint or legal claim is ongoing. |
If you ask us to delete your information sooner and we have no good reason to keep it, we will do so.
8. Marketing
We do not send you marketing emails, texts or calls as a result of your quote request. The emails you receive from us are service messages, such as the confirmation that your request has been sent. We do not pass your details to other companies for their marketing. If we ever want to send you marketing, we will ask for your clear consent first, and you will be able to withdraw it at any time.
If you receive unwanted marketing from a provider after sending us an enquiry, please tell that provider directly and tell us as well.
9. Your rights
Under data protection law you have the right to:
- be informed about how your information is used (this policy);
- access a copy of the personal information we hold about you;
- have it corrected if it is wrong or incomplete;
- have it erased in certain circumstances;
- restrict how we use it in certain circumstances;
- object to us using it where we rely on legitimate interests, and to any direct marketing;
- data portability, which means receiving information you gave us in a commonly used, machine-readable format where we use it on the basis of a contract or consent;
- withdraw your consent at any time where we rely on it. Withdrawing consent does not affect what happened before you withdrew it, and it cannot recall details we have already sent to providers, so please also contact the providers concerned.
To use any of these rights, email leads@yorkshireseospecialists.co.uk. We will reply within one month. We may need to check your identity first, for example by asking you to confirm details of your enquiry, and we will not normally charge a fee. Some rights have exceptions, and where we cannot do what you ask we will explain why.
10. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
11. Security, links and changes
Security. We use appropriate technical and organisational measures to protect your information, including encrypted (HTTPS) connections to this website, restricted access to enquiry emails and spam controls on our forms. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
Cookies. Our use of cookies and similar technologies, and how to change your choice, is explained in our cookie policy. You can also use the Cookie settings link in the footer of any page.
Other websites. Our website may link to other websites, including providers' own sites. We are not responsible for their privacy practices.
Changes. We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change to how we use your information we will take reasonable steps to tell you.
